Most bookings are lost in the follow-up, not the enquiry
When you buy a lead from Booth Leads, you receive someone who actively enquired about hiring a photo booth. The hard part — generating the interest — is already done. What happens next is entirely in your hands, and this is where most operators lose jobs they should have won.
Here's a simple, tested contact sequence based on what converts best across our network of operators.
Step 1: Call first, within the hour
Your first contact should always be a phone call, made as quickly as possible after you receive the lead — ideally within 30–60 minutes. The reason is simple: you're one of up to 3 operators contacting this client, and whoever reaches them first in a live conversation has a significant advantage.
If they don't answer, leave a short, confident voicemail: your name, your company, that you're following up their photo booth enquiry, and your number. Keep it under 30 seconds.
Step 2: WhatsApp immediately after the call
Immediately after calling (whether they answered or not), send a WhatsApp message. Most people in the UK are more likely to read and respond to WhatsApp than to an email, especially for something like an event booking.
A simple message works well:

"Hi [name], I'm [your name] from [company]. I just tried to call you about your photo booth enquiry for [event type / date if known]. I'd love to help — here's a link to our packages: [link]. Feel free to reply here or call me back on [number]. 😊"
Step 3: Email with your quote
Send a proper quote email the same day — ideally within 2 hours of receiving the lead. Include specific pricing for their event type, a summary of what's included, 2–3 photos of your booth at similar events, and a link to your reviews.
Don't make them work to get your price. Clients who have to chase for a quote often don't bother — they just go with whoever quoted them first.
"Respond fast, give a real price, and show social proof. That's 90% of the battle. Everything else is just tidying up."
Step 4: Follow up 48 hours later
If you haven't heard back within 48 hours, send a short follow-up. Not pushy — just a gentle nudge that keeps you at the top of their inbox:

"Hi [name], just checking in on your photo booth enquiry. I have availability for [their date] and would love to secure it for you. Let me know if you have any questions! [Your name]"
Step 5: Final check-in at 5–7 days
One final message at the 5–7 day mark. If there's still no response after this, move on — the lead has either booked someone else or put the event on hold. Don't keep chasing beyond this point; it rarely converts and takes time away from fresher leads.
Which channel converts best?
- Phone call (answered): Highest conversion — live conversation closes jobs
- WhatsApp: Best response rate for initial contact
- Email: Best for quotes and follow-up — clients refer back to it
- SMS: Effective but feels less personal than WhatsApp
